How might we optimise the the IT architecture approval process to make tracking more efficient?
IT architecture designs have to be approved, which had to go through multiple iterations and approval meetings. The approval progress for each project was manually tracked by excel sheets or by scrolling through communications email chains. As a product management intern, I configured and managed a Jira dashboard to automate that process, standardized ticket tracking and provided real-time visibility into the approval stages or all stakeholders.

User interviews with both approvers and approvees of the process are conducted, and the workflow(below) and user requirements(redacted) for the new flow are documented to understand the current process, and where the Jira dashboard could be integrated in the approval process.

Identified bottlenecks in the process are documented and entered into Jira for automation or optimization.
Agile Methodology in Interface Iterations
The jira dashboard is rearranged through multiple iterations and went through A/B testing with the approvers and the approvees, as well as all other relevant stakeholders. Below are the workflow documents of 2 of the Jira flows.
Key Learnings and Reflections
One of the key learnings from this project was cross-functional collaboration, to empathize with and accomodate to diverse schedules and priorities of different departments involved, to set realistic targets, and ensure that all stakeholders in the project are are aligned with the project timeline and schedules, essential steps for maintaining momentum and drive as well as facilitating problem solving.
The interface was implemented in the 2 month timeline. By asking lots of questions and learning from people from different departments with diverse skillsets, I was able to leverage diverse expertise, from understanding of IT workflows, to business requirements, to UX/UI, tying them together to create enriched and user-centered solutions.
